Venue Hire Coordinator

We are currently recruiting for a Venue Hire Coordinator to join the team at Three Counties.  The role would require you to grow new business and share administration of current business with the Venue Hire Executive to ensure the highest standards of customer service are delivered. The role reports into the Venue Hire Executive.

Hours: 21 hours per week, based at Three Counties Showground, Malvern


  • Identify our market and how to reach potential new clients
  • Work with venue hire executive to establish products that will appeal to our market and promote to potential clients eg attending business networking events
  • Meet potential clients and negotiate bespoke event packages
  • Prepare customer quotations showing creative thinking and flexibility to win business
  • Process booking and maintain function diary
  • Prepare and send client contracts and other related paperwork and explain terms and conditions of hire making reference to items specific to client
  • Liaise with accounts department to ensure accurate accounting
  • Gather information for function sheets and prepare them for distribution to applicable office and estate staff
  • Ensure equipment is in place for events
  • Meet and greet incoming clients and manage handover to operations team
  • Manage the hand back of event from third parties
  • Run customer feedback surveys and prepare data for future marketing campaigns
  • Assist with sales campaigns and associated administration tasks
  • Monitor competitors, market conditions and accordingly develop Three Counties’ products
  • Maintain sales activity records
  • Weekly Maintenance of the website
  • Any other duties deemed commensurate

Key skills/experience

  • Outgoing personality comfortable with attending networking events and pitching to new business
  • Proven sales and customer relationship management experience
  • Attention to detail
  • Flexible approach (occasional ‘out of hours’ work may be necessary)
